What to Report, When to Report It, and How We Respond

What to Report


Not every issue requires the same level of urgency, but no request is too small. As a general rule, you should submit a maintenance request any time something in your home isn't working the way it should. 


Common examples include:

  • Appliance issues — a refrigerator not cooling, a dishwasher not draining, or a stove burner that won't ignite
  • Plumbing concerns — running toilets, slow drains, dripping faucets, or low water pressure
  • HVAC problems — a unit that isn't heating or cooling properly
  • Electrical issues — outlets that don't work, flickering lights, or a tripped breaker that won't reset
  • General wear and tear — sticking doors, loose cabinet hardware, or worn weatherstripping


Some issues, like a gas smell, active water leak, complete loss of power, or no heat/AC during extreme temperatures, are emergencies and should always be reported right away using the fastest method available to you.

1. The Resident Portal, Available 24/7


Every Bainbridge community offers a resident portal where you can submit a work order any time, day or night. Simply log in, describe the issue, and your request is routed directly to our on-site maintenance team. It's a great option if you prefer to submit details in writing, attach a photo, or take care of a request outside of business hours.

2. Resident Assist, Our AI-Powered Support Line


For residents who'd rather talk it through, Bainbridge offers Resident Assist, an AI-backed phone support tool available around the clock. 


When you call, Resident Assist listens to your concern, gathers the relevant work-order details, and enters the request into our system on your behalf. If the issue needs immediate attention, it automatically escalates the request to our on-site team. 


What makes Resident Assist especially helpful is that it doesn't just log requests; it can also walk you through some initial troubleshooting. For example, if you call about a continuously running toilet, Resident Assist may guide you through a few basic checks, like jiggling the handle or checking the flapper, to see if the issue resolves on its own. If those steps don't do the trick, the request is escalated, and a technician is dispatched to take care of it.

3. Reaching Out to Your Leasing Office Team


Of course, our on-site teams are always here, too. If you'd rather speak with a team member directly, stop by the leasing office or give the community a call during business hours, and our staff will help get your request submitted and prioritized.
